Create the org, invite the field PM before anyone else, import last month’s spreadsheet, name the phases the way your crew says them out loud, then take the first photo. The full walkthrough — including how to pick up a job that’s already at drywall — lives in the docs.

First week

What people ask on day three.

My import didn’t map cleanly.

Re-run it. Imports don’t stack — a second pass replaces the first until you lock the Baseline. Nothing you do in week one is permanent.

An expense is on the wrong phase.

Reassign it from the expense itself, or in the weekly settle queue. The move is logged with your name; the Actual corrects on both phases at once.

The crew won’t download an app.

They don’t have to. The crew portal is a one-time code in a browser. Clock-in, schedule, photos, messages — nothing from an app store.

There’s no signal at the site.

Keep working. Photos, receipts and hours queue on the phone and upload when the truck gets back in range. A dead zone is a state, not an error.

Can I turn the flags off?

Yes, per capability. Recaps, Vision AI flags and anomaly alerts each have a switch. Most people keep receipt OCR on regardless.

I closed a week too early.

A locked period stays locked on purpose. Post the correction in the next open week — it lands with a reason and a date, which is what an auditor wants anyway.
